2. Data the app may process
The app processes data entered by an institution or its authorized users to provide its features:
Account data
- Name, email, user identifier and role such as administrator or user.
- Passwords are handled by Firebase Authentication and are not visible to us in their original form.
Institution data
- Institution name, code, email, settings and account status.
Key and borrowing records
- Key number, name, cabinet or location, color/category, status, holder, and borrow/return date and time.
Rooms and assets
- Room or location, items, quantity, unit, condition, notes and serial number where available.
Photos and files
- Room and asset photos, Excel or CSV import files, and PDF reports created in the app.
Activity logs
- Add, edit, delete, borrow and return actions, the acting user, date and time.
3. How we use data
- Operate key and asset management and sign-in.
- Associate each user with an institution and show authorized data.
- Record borrowing and returns and manage rooms, assets and photos.
- Create reports and manage users and permissions.
- Provide support, improve the system, resolve errors and protect the service.
4. Sharing and service providers
We do not sell personal or institutional data and do not share one institution’s data with another. Data may be processed by services required to operate the app, including Firebase Authentication, Cloud Firestore, Firebase Storage and Firebase Hosting, subject to their terms and security practices.
5. Data security
We use secure connections, role-based permissions and security rules to separate institution data and reduce unauthorized access. No electronic method is guaranteed to be 100% secure, so institutions must protect credentials, review users and permissions and report unusual activity.
6. Roles and permissions
Standard users can perform functions allowed by their role. Administrators can manage users, keys, deletion, import, settings and institution deletion requests.
7. Data retention
Institution data is retained while the account is active or needed to provide the service. Following a verified deletion request, related data is deleted except for limited records that may be retained temporarily for legal, security, fraud-prevention or dispute-resolution reasons.
8. Account and data deletion
A deletion request can be initiated in the app through Menu → Delete account and data, or at https://511.jo/en/apps/key-manager/delete-data/. An institution administrator may request deletion of the institution’s data, subject to identity and authority verification.
9. User and institution rights
Users or institutions may request access, correction, account deletion, institution data deletion or service discontinuation by contacting support@511.jo.
10. Children and institutional use
The app is intended for institutional use and is not directed to children. Educational institutions are responsible for authorizing users and establishing a lawful basis for data they enter.
11. External links
The app or website may link to external services. 511 does not control their privacy practices; users should review the relevant policies.
12. Policy changes
We may update this policy when app functionality, operational requirements or legal obligations change. Updates are published here with a revised date.
